How we collect, use and share information when you visit this KhelTech website, BookPlay at bookplay.in, or related services.

KhelTech Systems (“KhelTech”, “we”, “us”) is a software company that builds technology products. BookPlay is our first product. This policy explains our practices for the KhelTech marketing website and for BookPlay. Academy operators act as controllers of their member data; we process that data on their instructions as a processor.
Information we collect
From website visitors
- Contact details you submit on demo or contact forms (name, organisation, email, phone, message).
- Technical data such as IP address, browser type, device, referring URL and pages viewed.
- Cookies and similar technologies used for basic analytics and to remember preferences.
From customers and users of the platform
- Account and billing details for academy staff (name, role, email, phone, GST / invoicing information).
- Operational data you enter into KhelTech: members, bookings, batches, assessments, payments, events, inventory and related records.
- Member-facing data collected through your branded website or white-label app, on your behalf.
- Support communications and usage logs needed to run, secure and improve the service.
How we use information
- To respond to demo requests, sales enquiries and support tickets.
- To provide, host, maintain and improve the platform, including backups and security monitoring.
- To process payments through our payment partners and issue receipts.
- To send operational messages (booking confirmations, reminders, invoices) that you configure.
- To send product updates you can opt out of; we do not sell personal data.
Sharing
We share data only with subprocessors who help us deliver the product (hosting, email, SMS / WhatsApp, payments, analytics) under written agreements, when required by law, or if you instruct us to (for example a payment gateway you connect). We do not sell personal information.
Retention and your rights
Website enquiry data is kept as long as needed to follow up and for legitimate business records. Customer account data is retained for the life of the subscription and a limited period afterwards for invoices, disputes and legal obligations. You can export members, bookings, payments and reports at any time from the Report module.
Depending on applicable law, you (or your members, via the academy) may request access, correction, deletion or export of personal data. Academies should handle member requests first; we will assist. Contact bharat@kheltech.com.
Children
KhelTech is sold to academies and venues, not directly to children. Academies may store records about junior players. We expect operators to obtain any consent required from a parent or guardian under local law before collecting that information.
International transfers
Infrastructure and subprocessors may process data in India and other countries. We use contractual and technical safeguards appropriate to the transfer.
Changes
We will post updates on this page and revise the date above. Material changes to how we handle customer data will also be communicated to account administrators.
